Azara Healthcare is seeking a Marketing & Events Coordinator to join our dynamic marketing and sales team.
Skills:
- Highly organized self-starter who is comfortable both collaborating with Sales and Marketing teams and working independently and taking initiative on key engagements
- Detail oriented project manager with experience in event management, logistics, and promotion
- Experience working with show managers, decorators, hotel management, and shipping partners
- Excellent written and verbal communication skills with a focus on customer service
- Strong technology skills, able to learn and adapt to new platforms
Enthusiastic team player with ability to navigate cross functionally with remote stakeholders - Excitement for event and marketing trends and willingness to share new ideas
Familiarity with healthcare, population health - Ongoing collaboration with Sales and Marketing teams
Software/Tools:
- Microsoft Office (Word, PPT, Excel)
- Stova/Aventri/event management software familiarity
- HubSpot – CRM/CMS (preferred)
Tasks & Duties:
- Regional & National Events
- Coordinate participation (contracting, payment, registration) for 55+ regional and national events
- Maintain conference calendar and communicate with internal stakeholders
participation level for each event - Internal point of contact for all conference participation and logistical coordination.
- Manage logistics/shipping/tracking materials, etc.for all events
- Order all materials for conference participation (electrical, material handling, booth materials)
- Order and manage giveaways, brochures, signage, other conference materials
- Webinars
- Point of contact for all external webinar participation and speaker details
- Coordinate webinar calendar with CT team
- Coordinate webinar promotion with marketing
- User Conference Operations
- Order/track attendee giveaways and staff shirts
- Update conference app
- Work with Event Manager and Director of Marketing to oversee registrations,
payment, refunds - Run attendee and hotel pick-up reports
- Oversee attendee housing and coordinate with hotel contact
- Be point of contact for answering attendee questions and providing help
- Help with app, registration/badges, signage, attendee questions during conference
- Partner with conference team on event branding and design
- Speaker Management
- Manage conference speaker abstract calendar/submission dates
- Coordinate and maintain abstract content
- Submit and track abstract submissions per event specifications
- Coordinate submission of speaker headshots, bios, and company description
- Other Duties
- Maintain conference and webinar calendar pages on website
- Work with marketing to promote speaking and event participation via social and other channels
- Work with sales to provide lead lists post-conference
Qualifications:
- Minimum BA/BS degree in Event Management, Marketing, Communication
- 3+ years experience in conference or event management
- Demonstrated ability to coordinate, prioritize and handle multiple priorities and projects simultaneously
- Skilled at managing detailed shipping and conference logistics and working with event management/show decorators
- Must be dependable, highly organized, self-motivated and detail-oriented
- Flexibility to accommodate constantly changing environment
